RoboDepot sources parts for robotics teams. This site exists to take quote and lead-time requests. This policy explains what we collect when you visit it or send us a form, what we do with it, who handles it for us, and how to get it corrected or deleted. It applies to robodepot.com only.
What we collect
What you send us. The two forms on the landing page ask for:
- Your email address, and your company or team name.
- Whether you are a commercial team or a competition or university team, so the quote can include team rates.
- Your bill of materials or part list, if you paste one. Part numbers, quantities, and links to drawings or datasheets.
- A phone number, if you give one, for shipment updates by text.
- When you need the parts by, on the lead-time form.
We also record the page you sent the form from and the time it arrived. If you reply to our email with a spreadsheet or drawings, we keep those with your request.
How you use the page. We use PostHog, a product analytics service, to learn where visitors drop off. It records:
- Pages viewed, how far you scroll, which sections you reach, and which buttons and links you click.
- Your browser, device type, screen size, operating system, language, rough location from your IP address, and the site that referred you.
- A session recording that replays how the page was used. Everything you type into a form is masked in the recording and never leaves your browser. Your email, phone number and part list are not in it.
Analytics events about the forms record only whether a form was started, submitted or succeeded, which team type or date range was chosen, and whether a part list or phone number was included. Not the values.
Server logs. Our hosting provider keeps standard request logs (IP address, requested URL, browser, time) for a short period to run and secure the service.
How we use it
- To source and quote the parts on your list, and to send the quote or lead times to your email.
- To send shipment updates by text, only if you gave us a number. We do not call unless you ask us to.
- To answer your questions and follow up on a quote you asked for.
- To understand where people stop reading and make the page clearer.
We do not sell your information, share it with advertisers, or use it to build marketing profiles. Sending a form does not sign you up for a newsletter.
Who handles it for us
Three services process data on our behalf, under their own terms and security practices:
- Resend delivers form submissions to our inbox as email. Your submission passes through their systems in transit.
- PostHog stores the analytics events and session recordings described above.
- Vercel hosts the site and the function that receives the forms, and keeps the server logs.
These providers operate in the United States, so your information may be stored and processed there. We do not give your information to anyone else unless the law requires it.
Cookies and analytics
The site sets no advertising cookies. PostHog stores a small identifier in your browser, in a cookie and in local storage, so that it can tell a returning visit from a new one. It honours your browser's Do Not Track setting: with it on, no analytics events are sent. You can also block the domain i.posthog.com with a content blocker, or clear the site's cookies and storage in your browser. The page works the same either way.
How long we keep it
- Quote and lead-time requests: for as long as we are quoting or supplying your parts, and for our accounting records afterwards. If a quote goes nowhere, ask and we delete the request.
- Analytics and session recordings: kept within PostHog according to its retention settings, then deleted.
- Server logs: kept briefly by our hosting provider, then deleted.
Your choices
Email us and we will tell you what we hold about you, correct it, or delete it. If you gave us a phone number and no longer want shipment texts, reply STOP to any text or tell us by email. Depending on where you live you may have further rights under laws such as the GDPR or the CCPA, and you can also complain to your local data protection authority. We will not treat you differently for exercising any of these rights.
Children
The site is for robotics teams and their suppliers. It is not directed at children under 16, and we do not knowingly collect information from them. If a student under 16 has sent us a form, a parent, teacher or mentor can email us and we will delete it.
Changes to this policy
If we start collecting something new or using it differently, we will update this page and the date at the top before we do it.
